Dan's facilitators instructions

CLOSED: This discussion has concluded.

Hello everyone, we will be using this Forum as the primary way for me to communicate with everyone.

My name is Dan Popping, Practice lead at Bang the Table and I am the host for today's event.

I will post in this Forum to help set the scene and let everyone know what steps to complete. Please use the discussion threads (eg reply to comment) as we work our way through the online activities.

If you have any questions or get lost, please ask us here.

PS - Don't forget to 'refresh your screen' often, that way you will see the latest comments.

As we move in and out of this Forum - I will post a new comment for each of the Steps and provide additional instructions.

    OK, that's a wrap everyone.
Thanks for joining us in our live digital event. In the coming days I will send a wrap-up email to everyone who has participated and 'close the loop' on our event and also share some of our lessons learnt and things to do differently next time. Regards Dan

12.15 AEST Step 4 - Thanks for your involvement in the breakout forums. I had a peak of the conversations going and it was great to read all your comments. I have asked each of the breakout forum facilitators to quickly write up a summary. They will post this shortly using the ‘Newsfeed tool’ which can be found on the project page.
However before we move to our last activity, what did poeple think of the breakout forums?? Use the repy button to respond (and hit refresh)

Doh, I may have muddled up the step number Cecilia - Step 3 was supposed to be moving between the different breakout forums
      • Admin Commented Dan Popping - facilitator 4 months ago
Yes, I would definitely suggest to try and test this approach first with a small group of trusted people/staff.

Excellent - just like breakout rooms in Zoom, but we can be wearing anything

I think they are great for audiences who have a high level of literacy and understanding of how the tools work.
    • Dale Sutton 4 months ago
Worked well I thought. Good conversations on relevant topics.

Took me a few mins to realise the breakout forums were not a part of this thread (given the range of topics raised in here early on) but once I got there I found it useful, with great participation and ideas.
    • Jcaldwell 4 months ago
Seems like we may have lost some people along the way.....so practice as you say...not sure how this would go with community members....be great to give it a go though
    • Renata-IWC 4 months ago
I can see how these can work in some situations perhaps one or two topics only and small groups this would make it easier to follow the discussion and respond and respond.

      • Jcaldwell 4 months ago
Yes I'd reckon with less confident digital folk - less topics and more instruction prior to the event sent out on how the interaction will unfold could help
    • Shannon L 4 months ago
I joined very late and it's my first time using this tool. I found it a bit confusing to follow threads and see replies and where conversations were going/starting/continuing. Guess it would get easier with practice but wonder how people not used to using online tools (or typing quickly!) manage. What's been past feedback? Maybe turn up on time? :) Facilitator give clear instructions?

Hi all, I really enjoyed the opportunity to have a smaller discussion but also be able to have time to jump over to other discussion forums as well. I think it worked well and very WFH friendly.
    • Nathaniel 4 months ago
Thought it was great. Like some others, I would be a little worried about the technical ability of some community members to navigate, but certainly a good tool.

Typically a discussion forum is open over an extended period of time so its not about being as reactive in such a short period of time. been great to be apart of. I agree with the staggering of forums being really targeted. In this instance, I believe we wanted to have a few threads so everyone could find something of value.

Really good learning experience for us all. :)
    • Jan Logan BCC 4 months ago
Dan, thank you for your facilitation. I found the email, forum instructions and steps easy to understand and follow. The prompt questions in the break out groups were also great to get things going.
  • Admin Commented Dan Popping - facilitator 4 months ago
12.15 AEST Step 4 - Ok, we are nearly at the end. I would like to thank everyone for joining us. Our breakout facilitators are now publishing theri summaries. You last task is to leave us with any final comments or thoughts about this event. We would appreciate your honest feedback. I have turned on the ‘Guestbook tool’ titled feedback and you can go there to leave us a message. Once we take a final look at the forums and your feedback, we will do a final wrap up of the event, and email you all to close the loop. Thanks again, and have a wonderful day.
  • Admin Commented Dan Popping - facilitator 4 months ago
    11.45 - Step 2
Often in a face to face workshop, you would all meet together in a large room and then break out into smaller groups for discussion. Therefore we have created 5 different discussion forums for you to participate in. I would like you to choose ONE of these forums, and join our break-out facilitators for 15 mins to discuss and debate that particular topic. I think there will be about 4-5 people in each breakout forum.
On arrival to the breakout forum, please introduce yourself. Your break-out facilitator will be there to keep the conversation going, and provide some more instructions. After 15 minutes, you are then welcome to move between each of the 5 Forums, and get involved in other conversations. At 12.15 - meet me back here in the Facilitators forum

See you back here at 12.15.

Hi Barbara, we are just finishing up the breakout forums. Take a look and then pop back here in 3 mins for our final activity
  • Admin Commented Dan Popping - facilitator 4 months ago
    STEP 1
Ok, let’s do our first activity.

Just like any real life event, I always like to have an ‘ice-breaker’ activity. It’s a good way to warm the room up and get people interacting with each other.

So your first task (Step 1) is to go back to the project page and click on the ‘Quick Poll’ tab.

There are 2 Polls for you to complete. You can use the arrow to navigate to the second one.

Refresh your screen so you can see the live results.

At 11.45 come back to the Facilitators forum.
Look for the next discussion title STEP 2

Yes Joe that's something we area all pondering at Wollongong City Council.....we will but how is the question
    • Luke Farr 4 months ago
      Hey Jo,

two trains of thought from me...
1- peoples livelihoods are at stake and community engagement is not at the forefront of minds
2- people are still willing to be engaged during isolation and enjoy providing feedback
    • Renata-IWC 4 months ago
Perhaps not initially as people get used to the new way of things and process what is happening to them, once this stage passes then adapted engagement should continue.

      • Jcaldwell 4 months ago
I like that term Renata....adapted engagement
      • Admin Commented Joe Waller 4 months ago
perfect Luke and Renata - think this is exactly the conversations that need to be had. my background has been 'evaluating behaviour change programs' which I think given the current context is very interesting to observe and be apart of.
    • Dale Sutton 4 months ago
Hi Joe (and everyone else in this break out forum). We (Onkaparinga) are continuing to engage during the pandemic, but are looking for ways to shift face-to-face engagement to online. But I take Luke's point about whether people have the head space or ability to dedicate time to participating in online engagement at the moment. My hope is they will have both, but time will tell.

Hello everyone, and welcome to today’s live digital event.
It might seem a little weird at first, that instead of seeing my face and/or hearing my voice, you will be following instructions that I will provide online.

A few things to mentioned first, before we get started.

I have posted a running agenda with timeframes on the project page. If you ever get lost or not sure what you should be doing you can quickly check.

It is good to use ‘discussion threads’ you do this by clicking the ‘reply’ button to a comment. That way your comment will ‘nestle’ underneath the original comment

Use the ‘thumbs up’ and ‘thumbs down’ to agree or disagree with someone’s else comment.

Give it a go and get involved, remember you can not make mistakes.

Don’t forget to ‘refresh your screen often’ this way you will see all the latest comments/feedback.

Once you have read this update, please use the 'Thumbs up' to tell me you have read it and ready to move on.
We have a few more people joining now, so I will post the first task / Step shortly.

Ok, it looks like we have about 20 people in our event. That is great as we are all testing and trialling the use of our tools together.

I will post another comment and name it STEP 1. When you refresh your screen it should go to the top and I will provide instrutions there.
